If you're like most people, you're looking at a chaotic mix of .docx files, a few mystery .dat files, maybe some ancient .wma audio you ripped from a CD in 2007, and a handful of formats you genuinely cannot identify. Your Downloads folder is probably even worse.

Here's the thing: file formats aren't just labels. They carry real consequences for your storage, your software compatibility, and even your security. Some formats are lean and future-proof. Others are bloated dinosaurs that exist only because you haven't bothered to deal with them yet. Knowing the difference is one of the most underrated PC maintenance skills you can develop.

Let's break it all down.

What a File Format Actually Is (and Why It Matters)

At its core, a file format is a set of rules for how data is organized inside a file. A .jpg image and a .png image both contain picture data, but they encode and compress that data differently. That difference affects file size, image quality, compatibility, and how much work your PC has to do to open or display the file.

Formats evolve over time. What was cutting-edge in 2005 might be a bloated mess by today's standards — or worse, a format that modern software barely supports. When you hold onto old formats out of habit, you're often paying a storage and performance tax for no real benefit.

The Document Formats Worth Knowing

Keep: .docx, .pdf, .xlsx These are the workhorses of modern productivity. .docx (Microsoft Word's current format) and .xlsx (Excel) are widely supported across Windows, Mac, and even web-based tools like Google Docs. .pdf remains the gold standard for sharing documents when you need formatting to stay locked in place.

Think Twice About: .doc and .xls The older .doc and .xls formats — the ones without the "x" at the end — date back to the pre-2007 era of Microsoft Office. They still open fine in modern software, but they're larger, less efficient, and lack features introduced in the newer formats. If you've got a folder full of these, consider batch-converting them to their modern equivalents. Microsoft Word makes this trivially easy with the "Convert" option under File > Info.

Consider Ditching: .wps, .wpd Remember WordPerfect? If you've got .wpd files from the '90s or early 2000s, you're dealing with a format that almost nothing opens natively anymore. Same goes for .wps files from older versions of Microsoft Works. If the content matters, convert it to .docx or .pdf now, before software support disappears entirely.

Image Formats: Where Bloat Quietly Kills Storage

Keep: .jpg, .png, .webp, .heic JPEG (.jpg) is still perfectly solid for photos where some quality loss is acceptable. PNG is your go-to for anything that needs a transparent background or pixel-perfect sharpness. WebP — pushed by Google — offers smaller file sizes than both for web use. HEIC is what iPhones shoot in by default and offers excellent quality at roughly half the file size of JPEG.

Reconsider: .bmp and .tiff BMP files are essentially uncompressed images. A single BMP screenshot can be several megabytes when an equivalent PNG would be a fraction of that size. Unless you're doing professional print work that specifically requires TIFF, these formats are storage hogs with little practical upside for everyday users.

Watch Out For: .psd, .ai, .xcf These are proprietary design formats tied to specific programs — Photoshop, Illustrator, and GIMP respectively. They're essential if you're actively working in those apps, but if you've got old project files from software you no longer use, they're just eating space. Export what you need to PNG or PDF and archive or delete the originals.

Video Formats: The Codec Graveyard

This is where things get messy. Video formats are tangled up with codecs — the compression technology used to encode the actual footage — and the combination of format and codec determines whether your media player chokes on a file.

Keep: .mp4 (H.264 or H.265), .mkv MP4 with H.264 encoding is the universal standard for video. It plays on virtually everything — phones, smart TVs, browsers, media players. H.265 (also called HEVC) offers the same quality at about half the file size, though it requires more processing power to decode. MKV is a container format that supports nearly every codec and is popular for high-quality video with multiple audio tracks.

Time to Let Go: .wmv, .avi, .flv, .rm Windows Media Video (.wmv) was Microsoft's answer to video compression in the early 2000s. It works fine in Windows Media Player but is a headache everywhere else. AVI files are often massive because older AVI encodings used inefficient codecs. FLV was Flash video — a format that died with Flash Player itself. RealMedia (.rm) files are essentially digital fossils at this point. If you've got content in these formats that you actually want to keep, convert them using a free tool like HandBrake before they become completely unplayable.

Audio Formats: Smaller Than You Think, But Still Worth Auditing

Keep: .mp3, .aac, .flac, .m4a MP3 is still fine for general listening. AAC (used in .m4a files) is technically more efficient and is what Apple defaults to. FLAC is lossless — perfect if audio quality is a priority and storage isn't.

Retire: .wma, .ra, .ogg (maybe) WMA was Microsoft's MP3 competitor. It's not terrible, but it's largely unnecessary when AAC and MP3 are universally supported. RealAudio (.ra) is another relic. OGG is technically open-source and solid, but compatibility outside of desktop media players can be spotty — worth converting if you need files to work across a wide range of devices.

How to Actually Clean This Up Without Losing Anything

Before you start deleting or converting, a few ground rules:

  1. Back up first. Whether it's an external drive or a cloud service, make sure you have a copy before you start changing things.
  2. Use a dedicated conversion tool. For documents, LibreOffice can batch-convert old formats. For video, HandBrake is free and powerful. For audio, fre:ac (Free Audio Converter) handles most formats without fuss.
  3. Sort by file type in File Explorer. Windows lets you filter and sort files by type, which makes it easy to spot clusters of outdated formats.
  4. Don't convert what you don't need. If you haven't opened a file in three years and you don't know why you'd need it, the answer might just be to delete it.

The Bottom Line

File formats are one of those topics that sounds boring until you realize your PC is quietly drowning in digital clutter that's costing you storage, slowing down backups, and making it harder to find the stuff that actually matters. A little format literacy goes a long way.
